Summary
Face to Face Administrative Specialist responsibilities include day-to-day operations of Hospice face-to-face needs. Support/assist Hospice and Palliative team members to ensure face-to-face visits are assigned appropriately and completed on time. Assist Palliative Administrative team with Palliative needs if they arise.
Face to Face Administrative Specialist Responsibilities
Daily report management within HCHB to obtain upcoming face-to-face visits
Manage SalesForce list that support face-to-face scheduling
Manage various communication channels for the team, including emails, phone, and Teams chats.
Serve as a primary contact, advocate, and source of information for Hospice and Palliative field staff, and Hospice operations.
Assist in training new hires by developing training plans, materials, and schedules.
Manage scheduling platforms, such as HCHB and Outlook.
Collaborate with leadership to review current processes and assist in implementing process improvements.
Demonstrate excellent customer service, both internally and externally.
Understand and effectively communicate HIPAA compliance, corporate compliance, and client confidentiality.
Ensure compliance with local, state, and federal regulations.
Uphold the Company's Core Values and Core Competencies.
Perform any additional duties assigned by the supervisor.
Face to Face Administrative Specialist Requirements

A minimum of 2 (two) years of experience in Palliative, Hospice, or Home Care preferred
Bachelor’s degree in a health-related field preferred
Medical records experience preferred Job Description
HCHB experience strongly preferred
Strong written and verbal communication skills
Teamwork orientation
Able to take and follow through with delegated tasks and accountability
Resourcefulness in problem solving
Proven data analysis skills with previous use of an electronic health record
Proven organizational skills and ability to prioritize work to meet the needs of the agency
Intermediate proficiency in Microsoft applications: Excel, Word, Outlook, PowerPoint
Ability to provide excellent customer service and demonstrate strong cultural competency
Ability to adhere to strict confidentiality guidelines
Certificates, Licenses, Registrations
Must have and maintain in good standing professional license, certificate, or registration, as applicable.
